Organisation Chart

This module allows an organisation to map out its entire organisation chart and assign posts and / or action plans to specific elements of the organisation chart (Directorate, Services, Departments, Teams - see table 1). Once posts are created users can be assigned to them from the Users module.

Clicking on the Org Chart opens up the Organisation Chart module. This page has two panels. The left-hand panel shows the organisation structure. The right-hand panel shows details of the selected element of the organisation's structure (figure 1).

Unlike the strategy map the organisation chart uses a fixed series of organisation elements that are preloaded with the system and retain their icon and name assignment (table 1).

Organisation Icon Description
Organisation element - typically used as the highest level in an organisation heirarchy
Directorate element - typically used as the second level in an organisation heirarchy
Service element - typically used as the third level in an organisation heirarchy
Department element - typically used as the fourth level in an organisation heirarchy
Team element - not a post, although team member posts are assigned directly underneath this element
Post - job description as pertains to a user's responsibility in the system's organisation
Vacant post / Delete post - a user has yet to be assigned from the user module to this element. Users cannot be assigned to more than one post. User assignment to a post is not mandatory / the deletion option on right clicking a post in the Org Chart module.

Performance Target Owner Post - this icon appears next to a post that owns a performance target and can be viewed in the expansion of the 'Add / View Responsibility' for a measurable strategy map item

Displays whole organisation and is visible on right clicking when the icon has been used to display the tree below the current element

Posts show the name of the user currently assigned to them, if any, or show a vacant post and the word "Vacant" if no user is assigned to the post.

Adding and editing organisation elements

Right clicking on an organisation element displays editing options (figure 2). Note: at system start up there will only be the top tier organisation element.

Either another organisation element can be added, or a post (if the item is not a post), or an action plan alternatively the item itself can be edited or deleted.

Adding a post

A post can be added beneath any organisational element but not another post. Add a post by right clicking on an organisation item and select 'Add Post' (figure 2).

The add post dialog will be displayed on the right (figure 3).

In figure 3 above a new post has been created in the Staff Recruitment Team and the Recruitment Team Leader post has been selected as the Manager Post or line manager (the post that the new post answers to). Because posts cannot be added under existing posts, the Manager Post is the best way to represent organisation heirarchy within an organisation element.

Team leader status can be associated with the post though this doesn't affect the system. Job share can be selected for posts that split responsibility for the same roles in the organisation, again selecting this does not affect the system and is merely a flag.

Adding a user to a post

Users are added to a new post in the User module and not from the organisation set up. Users can only be associated to posts that have been set up and are vacant. Click here for information on how to associate a user with an organisation post.
